• SokoPro Project Bank increases the efficiency of the waste management company's infrastructure construction

Kiertokapula Oy, one of the largest municipal waste companies in Finland, strengthened its infrastructure investments by deploying SokoPro Project Bank. The solution ensures comprehensive data management, supports the company's quality system and ensures that all parties have access to up-to-date information at all times.

Owned by 13 municipalities, the waste management company Kiertokapula’s operations include large-scale infrastructure construction projects, such as the renovation of waste treatment areas and the construction of new recycling stations. When the company's investments started to grow rapidly in 2020, a solid digital platform was needed to manage the projects.

When the construction unit was established in 2019, its new employees brought with them experience of different project platforms. We decided to revive the SokoPro Project Bank, which was previously only used to a limited extent, and now it is completely indispensable to us, says Kirsi-Marja Höök, Infrastructure Construction Specialist at the waste management company Kiertokapula.

    Organisation praised by quality auditors

All of Kiertokapula's projects, from tendering to contracting and warranty period operations, are documented in the project bank. The company is currently expanding its waste station network by building new recycling stations in Riihimäki, Iittala, Lammi and Mäntsälä, so the number of different projects is large.

Kiertokapula has four construction-related sectors: Area construction, Waste filling construction, Demolition Services and Remediation of contaminated soils. The project bank is tailored to the company's needs; for example, each sector has its own sector-specific banks with their own main users and extensive management rights.

In the project bank, all materials are kept in order for each project separately. We have also been praised for the clarity of the system in external quality audits, Höök points out.

    Important operating platform

SokoPro is an important client’s operating platform for designers and contractors. One of its essential benefits is that it ensures that during the contract everyone always has access to the latest information.

All the materials are well controlled. This allows us to ensure that all parties to the project have access to the latest versions of the documents, says Höök.

All construction works, even minor repairs, are documented in SokoPro. Höök emphasises the traceability of the entire project chain.

People change jobs, for example, so it is important that the information is not tied to any individual person. From the project bank, we can always look at what has been done, why and by whom.

A platform familiar to all operators

According to Kirsi-Marja Höök, a big advantage is also the fact that SokoPro is a commonly known platform for operators in the field, and there is no need to specifically offer training on its use.

The Demolition Services also make use of the SokoBid quote request tool.

It makes work run more smoothly as there is no need to send documents separately to tenderers. There are no individual emails, and everyone has the same information at the same time.

After the completion of projects, Kiertokapula manages the storage of critical information by adjusting the users' rights.

Excess access rights are removed from the banks when the project is completed. Usually, only viewing rights remain for a certain group, but rights can be restored if necessary, says Höök.

    Grano as SokoPro’s partner

Grano Oy acts as a retailer for the SokoPro Project Bank and delivers to Kiertokapula the necessary assignments related to printing and digitization, in addition to the Project Bank.

SokoPro and Kiertokapula have a shared history of about 10 years, but initially the Project Bank was used only to a limited extent.

Initially, the Project Bank functioned mainly as a tool for new sites, but soon the service was expanded to cover all documents and various tools found in SokoPro, describes SokoPro's retailer, Grano's Key Account Manager Aripekka Härkönen.

A year ago, when Kiertokapula moved from the old SokoPro system to the new one, it brought significant benefits. The transfer made it possible, among other things, for the Project Bank to be tailored to the needs of Kiertokapula.

The transfer was carried out after major efforts made by Grano as it modified Kiertokapula’s database to make it more suitable for its use. At the same time, the use of SokoPro expanded to serve Kiertokapula’s different business areas, says Härkönen.
